Position Summary

 

As the Operations Manager, you will work closely with and report to the Asia Head of Operations in providing support on managing and delivering a best-in-class workplace experience and operations across all Asia offices. You will be involved in a broad range of operational activities and strategic projects.  

 

The ideal candidate will be detailed minded, forward-thinking and hospitality focused, be comfortable with numbers and working with stakeholders at various levels, cross-functional and international teams. The responsibilities set out below intend to guide on typical activities for the role, however these will evolve based on the skills and experience of the candidate as well as the needs of the business.

 

Key Responsibilities

 

 

Managing Office Space and Facilities

  • Support Head of Operations in managing the provision of office space and facilities of 14+ offices across Asia
  • Collate and conduct various financial analysis for real estate strategy review
  • Monitoring office lease expiry/ renewals and enhance control of all related documentations
  • Assist with and assess ongoing real estate issues for our 14+ offices in the region
  • Working closely with local Office Managers /Admin team in the provision of the Workplace Services and Facilities management with a view to align regional and global standards
  • Partner with Global Real Estate (GRE) on major projects, office moves and buildouts
  • Liaise between GRE team and local business unit leaders, on all matters related to space planning, workplace & location strategies, design & construction, and related GRE topics

 

Processes and Operational Management

  • Analyse, develop and propose enhancements to current business processes, reports and guidelines in order to optimise effectiveness/productivity/consistency with support from Head of Operations
  • Consolidate and draft documented policies/ guidelines and procedures to help standardisation across all offices in Asia
  • Proactively gather data and translate information (both financial and nonfinancial) into valuable insights and actionable recommendations.
  • Provide project support and research for key strategic and operational initiatives (E.g., SOP and BCP)
  • Assist with the management of various service agreements with providers, for example insurances, regional travel management company, mobile phones, equipment etc.
  • Assess and analyse shared offices expenses, budget and actual. Effectively manage, update, and report on the associated financial performance over the course of the year
  • Be able to act as the power-user on certain office related program/ software (Training will be provided)
  • Working closely with global team to assist in driving implementation of various global workplace initiatives (e.g., IT workplace Technology, security systems, sustainability and health and safety,)
  • Producing high-quality written deliverables (including proposals, presentations and reports) to effectively communicate project findings
  • Attend meetings, take action points, prepare meeting support materials (including reports, presentations and agendas) for follow up on behalf of the Head of Operations

 

Key Requirements

  • Possess 8+ years multidisciplinary experience in operations management, accounting, facilities/real estate management preferably within professional services / financial services firms
  • Candidate with lesser experience will be considered as Assistant Manager
  • University degree in business, accounting, economics or similar
  • Proficient in Microsoft Office application (Excel, Word, PowerPoint and Outlook) (essential)
  • Excellent written / verbal communication skills and strong numerical skills (able to interpret and analyse financial information)
  • Think critically and take initiative in a fast-paced, deadline-driven environment
  • Exercise good judgment and able to solve problems in a variety of situations where there may be ambiguity
  • Willing to work autonomously, highly motivated with a proactive work ethic and an eye for detail
  • Able to respond quickly to changing priorities and anticipate new challenges
  • Ability to maintain a professional, composed, demeanour, and to diplomatically deal with challenging situations to resolve or escalate with leadership as needed
  • Able to handle the highest level of confidential issues with the utmost sensitivity
