Position Summary:
To provide administrative support to the Perth Corporate Finance and Restructuring Office.
Key Responsibilities:
  • Onboard new joiners (prepare desk, setup equipment, walk through emergency evacuation procedure, train on internal systems and software, office procedures and policies, printing and photocopying and order business cards)
  • Manage leavers process (collect completed last day checklist and send to HR, collect all FTI property and equipment and close off building pass)
  • Manage meeting room bookings, setup meeting room as needed, setup IT requirements and order catering as needed
  • Mail & deliveries – incoming and outgoing, maintain franking machine and account disbursement
  • Greet and welcome FTI visitors and clients to the office
  • Maintain a clean and tidy office and kitchen at all times
  • Assist with banking by depositing cheques
  • Arrange professional photographs for employees as necessary
  • Arrange couriers (local, interstate and international)
  • Cab charges – responsible for keeping, distributing, obtaining receipts and conduct account reconciliation
  • Organise teleconference bookings and account reconciliation
  • Conduct filing, storage and archiving (manual, electronic and offsite)
  • Maintain telephone and internal staff lists
  • Act as the warden for emergency evacuation procedures and maintain first aid kit
  • Conduct printing, scanning and photocopying as requested
  • Support Managing Directors with expense claims, timesheets and other ad hoc duties as requested
  • Provide backup to admin staff with overflow typing and when on leave
  • Assist with ad hoc administrative duties as needed
Office Maintenance Responsibilities:
  • Assist with building management work requests
  • Manage and maintain building security pass register
  • Maintain stationery stock and refresh as needed
  • Maintain catering and kitchen stock and refresh as needed
  • Conduct general kitchen maintenance (empty dishwasher, restock fridge and restock and clean coffee machine)
  • Work with Marketing to order merchandise supplies for client events
  • Work with IT on all equipment and troubleshooting queries
Office Culture
  • Organise in-office social activities such as morning teas to bring the office together
  • Organise staff birthday and departure festivities and other employee milestones
  • Assist with organising Corporate Social Responsibility (CSR) events
  • Organise social events e.g. EOFY and Christmas Party
  • Work with HR to schedule Health & Wellbeing activities throughout the year e.g. Flu vaccinations for office
Key Requirements:
  • Completed Year 12/ HSC
  • Minimum of 1.5 – 2 years’ experience working in an administrative or office coordinator role
  • Minimum typing speed 50wpm
  • Excellent attendance
  • Computer literate
  • Word, Excel and PowerPoint and Internet skills
  • A "can do" and enthusiastic attitude
  • Attention to detail
  • Excellent telephone skills
  • Professional manner
  • Ability to multi-task
  • Ability to work on initiative and prioritise workload
  • Time management and organisational skills
