ABOUT THE OPPORTUNITY:
This position is responsible for providing administrative support for a group of FTI Professionals within their assigned office. This position may also handle the Reception Desk in a smaller FTI office. This position will handle all routine administrative tasks and will require the ability to successfully balance assignments and a variety of duties from multiple individuals. A professional in this role will be expected to use good judgment and maintain confidentiality at all times. This position operates under direct supervision with narrow independence of action.
 
PRIMARY DUTIES:
General Administration
• Create and maintain paper and electronic files
• Maintain calendars and contact lists and update as needed
• Coordinate all meeting and travel arrangements
• Set-up conference calls
• Type and edit correspondence and reports
• Demonstrate proficiency using firm developed templates for correspondence and presentations
• Sort, read, distribute internal and external mail
• Answer all assigned phones, take messages and fulfill requests
• Complete requests for deliveries, faxes and couriers
 
Financial Administration
• Capture time and expense and apply to proper charge codes
• Assist with the collection of billing information, invoice creation and collection
• Run Elite reports e.g. WIP, AR, Unbilled
• Create documents, reports, spreadsheets using Microsoft Excel, Word and PowerPoint
• Search Intranet/Internet and provide information
 
Reception (May be required in smaller FTI Offices)
• Perform general reception duties and/or back-up reception duties as applicable
• Remove the phone from the night bell each morning
• Respond to all overnight messages, and reviewing daily conference/meeting requirements.
• Answer phone and respond to inquiries or direct calls as appropriate
• Receive visitors and handle inquiries as appropriate
• Maintain current employee roster with telephone numbers and contact information
 
BASIC QUALIFICATIONS:
• Minimum of 2 years college preferred
• 3+ years of administrative support experience required
 
PREFERRED SKILLS:
• Capacity to multi-task, prioritize work load and effectively manage time to meet deadlines.
• Ability to work in fast-paced, deadline driven environment
• Demonstrate excellent oral and written communication skills
• Work effectively as part of a team when required; be flexible with independent tasks when teamwork needs are a priority.
• Perform all tasks with attention to detail and review for accuracy.
• Maintain courteous, professional manner in person and on the phone
• Proficient in Microsoft Office application (Excel, Word, PowerPoint)
