About The Role
This position is responsible for providing comprehensive administrative support to multiple leaders within the Cybersecurity practice. The ideal candidate will manage a wide range of responsibilities, balancing competing priorities and requests from various stakeholders with minimal supervision. The position involves both routine and complex administrative tasks, requiring strong independent judgment to effectively plan, prioritize, and organize workload. Success in this role depends on exceptional organizational, communication, and multitasking skills, along with a keen attention to detail. The candidate may interact with clients and other FTI leaders, necessitating a high level of professionalism, discretion, and confidentiality at all times.
What You’ll Do
Manage multiple executive calendars, proactively identifying conflicts and resolving promptly
Anticipate needs, handling matters proactively and driving projects through to successful completion
Coordinate complex domestic and international travel arrangements, including itineraries, logistics, and contingency planning
Schedule and coordinate meetings across time-zones, both in-person and virtual
Set-up and manage virtual meetings and conference calls, including preparing materials and notifying participants
Prepare, format, and edit documents, reports, presentations, and spreadsheets using appropriate company software and templates
Conduct research and compile information from internal and external resources
Maintain and update contact lists, ensuring accurate data entry of business contacts and meeting notes within Salesforce CRM
Assist with new client opportunities including initial input into Salesforce and coordinating conflict checks
Set up new matters in Salesforce CRM, ensuring accurate entry of client information, engagement details, and required documentation in accordance with FTI procedures
Manage time entry and expense reporting within FTI systems, ensuring accuracy and timely submission
Navigate the firm’s ERP system to generate client billing reports
Coordinate and manage recurring office space reservations, ensuring timely booking of shared workspaces and adherence to FTI policies
Review and prioritize incoming emails, calls, and correspondence, escalating urgent matters as appropriate
Coordinate courier services, shipments, and deliveries while tracking and confirming receipt.
Maintain organized electronic and physical filing systems in accordance with FTI standards
Track and follow up on action items, ensuring deadlines and deliverables are met
Handle sensitive and confidential information with the highest level of integrity and discretion

What You Will Need To Succeed
Basic Qualifications
This role requires travel to clients and FTI offices
Applicants must be currently authorized to work in the United States on a full-time basis; this position does not provide visa sponsorship
Preferred Qualifications
Minimum of 10+ years of administrative support experience required, including at least 3+ years supporting senior leadership
Working knowledge of the consulting industry and its standard business practices preferred
Proactive self-starter with the ability to take initiative and readily accept new assignments and challenges
Proven ability to manage multiple priorities simultaneously while consistently meeting deadlines
Thrives in a fast-paced, deadline-driven environment
Excellent verbal and written communication skills
Ability to work effectively both independently and as part of a team; capable of leading team efforts when required
Strong attention to detail with a commitment to accuracy and quality in all deliverables
Ability to handle confidential and sensitive information with discretion
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
