About The Role

 The Data & Analytics (D&A) Practice within the FLC segment is seeking a Practice Support Manager to provide Executive support to leadership and support the smooth functioning of the business.  The candidate must be experienced in supporting senior management at a high level, be highly competent, intelligent and intuitive with the ability to juggle and prioritise tasks.  The candidate should have advanced Microsoft Office applications skills, numerate agility and excellent interpersonal and communications skills underpinned by a proactive and positive approach.  Accuracy and attention to detail are essential.  The nature of the business is driven by client deadlines and on occasion the incumbent may be required to work outside the core hours at short notice.  The role will be suited to someone who has experience of working at a senior level, enjoys a full and sometimes deadline-driven day and has excellent project management and organizational skills.  The successful candidate will be self-assured, flexible, reliable with a positive demeanour, be the glue of the team and the ability to remain calm under pressure. 

 The growing D&A EMEA business will require operational support primarily in London but also in Germany and the Middle East, to include support within a matrix structure, for human resources, marketing and sales, potentially including financial reporting assistance.  The role is to be the go-to person for D&A for internal and external parties and who will help the business grow and be successful.

 

REPORTING TO: Head of D&A EMEA

 

What You’ll Do

 

  • Executive Assistant support to the SMDs, including following up on their behalf and anticipating needs and priorities.
  • Project management and operational support to the SMDs in their respective leadership roles around AI, DIB and CSR
  • Operational support for the team on an ad hoc basis.
  • Maintenance of Operational Guidelines document, including periodic review of overall practice adherence to guidelines
  • Manage, track and oversee team resourcing for key corporate initiatives, other FTI segments and client engagements
  • Working with leadership on internal strategic and special projects management
  • Working with leadership, operations and finance teams on D&A reporting and revenue backlog and pipeline
  • Operational management of D&A recruiting processes
  • Operational oversight of functioning of graduate and intern recruiting processes
  • Management of new joiner processes, ensure smooth onboarding and follow through
  • Partnering with HR on performance management processes; monitoring and contributing to well-being of team
  • Operational management of L&D initiatives and development of D&A teams
  • Partnering with marketing on management of bios, case studies and GTM materials, including assisting with thought leadership schedule; managing local repositories and ensuring EMEA D&A materials are current and properly represented in all FTI global repositories
  • Lead and manage CSR, DIB and ESG initiatives for the D&A team
  • Management of D&A business development opportunities, new matters and maintain log and track D&A pipeline
  • Management of client engagement processes from conflict check to initial LoE drafting to ensuring diligent processes and compliance re WIP and AR across D&A’s offices
  • Managing the external, subcontractor process to ensure a timely matching of expense (invoice) and revenue on client billable engagements
  • Management of leadership’s schedule including preparation of external/internal correspondence, complex global travel arrangements, expense reimbursements, coordination of meetings and receptions, preparation of presentation materials, and maintenance/filing of documents
  • If opportunities arise, direct involvement on client matters, providing project management capabilities, and close client liaison where applicable

What You Will Need to Succeed

  •  Excellent interpersonal skills with proven ability to establish rapport with people at all levels 
  • Ability to prioritise workload and to deal with multiple parties and requests
  • Ability to communicate on behalf of senior leaders both to internal and external parties
  • Ability to communicate with tact and diplomacy, both verbally and in writing with all levels of the organisation
  • Ability to work under time pressure, work extended hours to meet deadlines and be available as needed
  • Strong attention to detail with strong organisational skills
  • Strong team player
  • Ability to handle confidential issues with utmost sensitivity
  • Strong levels of discretion and integrity
  • Self-starter and highly professional approach to their work
  • Ability to pursue and find solutions when they may not be immediately visible or available
  • Proficiency in Microsoft Office suite (Excel, Work, Outlook, PowerPoint) including pivot tables and formulae
  • Sound qualifications in English and Maths
  •  5+ years Executive level support experience
  • Experience of both 1:1 and team support will be advantageous
  • Proven experience of supporting senior management, preferably in a consulting or financial environment is highly desirable as well as ability to work in a matrix organization, maintaining partnerships with relevant global departments.
